Who is responsible
RingOtter is operated by Implementables Pursuit, based in Spring Valley, California, United States. This policy explains how we handle information when you use our website, app, and related services.
For privacy questions or requests, email info@implementables.com. If you use RingOtter for business communications, you are responsible for the notices and permissions you owe to the people you contact.
Information we handle
When you use our contact form, we process your name, email address, and message to respond to you. The message is sent through NameCrane’s email service to our support inbox. Cloudflare Turnstile processes verification and technical request information to help prevent automated abuse. Do not include passwords or account secrets in your message.
- Profile information: your name, email address when provided, Apple or Google sign-in identifier, and session records.
- Connected accounts: Twilio account identifiers, credentials, phone numbers, connection names, and feature configuration. Saved account credentials are encrypted in our hosted service and cached in the iPhone Keychain.
- Communications: messages, phone numbers, call history, delivery information, and other activity needed for the features you use. Twilio processes communications through your account. The app retrieves message and call history from Twilio and keeps loaded history in memory.
- Calling and notifications: device registration and push tokens, call-signaling information, routing configuration, and identifiers used to deliver activity updates. Our service stores notification-event metadata rather than a copy of your message history.
- Contacts: contacts you permit the app to access stay on your iPhone. Phone numbers you select are used for the call or message you initiate.
- Support and technical information: information you send us, along with IP addresses, request details, device or browser information, and operational records processed to deliver and protect the service.
How we use information
We use information to sign you in, restore your connections, show your communications, route calls and messages, deliver notifications, provide requested AI suggestions, respond to support, prevent abuse, and meet legal obligations.
Where applicable law requires a legal basis, we process information to perform our agreement with you, pursue legitimate interests in operating and securing the service, comply with law, or act on consent where required. Device permissions and optional features remain under your control.
AI reply suggestions and OpenAI
When you request an AI reply suggestion, conversation text and context included in that request are sent to OpenAI to generate suggested wording. Treat this as sharing that information with an AI service. Do not include credentials, sensitive information, or another person’s information unless you are authorized to do so.
OpenAI processes API data under its applicable terms and data controls. Its API data documentation explains default training and retention practices, including that API content is not used for model training by default unless an organization opts in. We do not promise zero retention by OpenAI.
Review suggestions before sending. The website’s reply animation uses fixed example text and does not send a conversation to OpenAI.
When information is shared
We share information as needed with providers that help deliver the features you use:
- Twilio: phone numbers, messages, calls, credentials, and routing for your connected account.
- Cloudflare: website and backend hosting, databases, encrypted connection storage, security, and real-time or notification infrastructure.
- Apple: sign-in, device and push services, and app distribution or payments where applicable.
- Google: Google sign-in when you choose it. The website also requests fonts from Google Fonts, which exposes ordinary request information such as your IP address to Google.
- OpenAI: conversation context submitted for AI reply suggestions.
We may disclose information when required by law, to protect rights or safety, investigate abuse, or as part of a merger or transfer of the service with appropriate safeguards. We do not sell personal information or share it for cross-context behavioral advertising.
Third parties also handle information under their own policies: Twilio, Cloudflare, Apple, Google, and OpenAI. OpenAI’s name and logo are its trademarks; their use identifies the provider and does not imply endorsement.
Storage, retention, and security
We keep profile and connection information while needed to provide your account and requested features. Operational, security, support, and transaction records may be retained for as long as necessary for their purposes, legal obligations, or dispute resolution. Retention depends on the type of record; we do not promise that every record is deleted immediately.
We use measures including encrypted credential storage, iPhone Keychain storage, authenticated sessions, and access controls. No system can guarantee absolute security. Protect your device and Twilio credentials.
Information may be processed in the United States and other countries where our providers operate. Those countries may have different privacy laws; safeguards required by applicable law apply to relevant transfers.
Your choices and deletion
You can change your profile, disconnect connections, manage device permissions, disable notifications, and request deletion through available app controls or by emailing us. Before disconnecting or deleting, restore Twilio routing for any numbers that depend on RingOtter if you want another service to handle them.
Deleting a RingOtter profile removes the profile, its saved connections, and app sessions. Separate calling configuration, security or support records, backups, and records subject to legal retention may require additional handling. Contact us if you want help removing remaining RingOtter-held data.
Disconnecting or deleting RingOtter does not delete your Twilio account, numbers, message or call records, cancel third-party subscriptions, or revoke Apple or Google authorization automatically. Manage those services directly with their providers.
Depending on where you live and the law that applies, you may have rights to access, correct, delete, obtain a copy of, restrict, or object to processing of your information, or withdraw consent. Send requests to info@implementables.com. We may verify your identity and authority before responding. You may also complain to your relevant privacy regulator. We do not discriminate for exercising applicable privacy rights.
Website storage and links
The marketing website does not set advertising cookies or include an advertising analytics SDK in its own code. Hosting and security providers may process technical requests or use necessary security mechanisms. In-app session credentials are stored separately from website browsing.
Links to other websites are governed by their own policies. Our product presentations use example contacts and phone numbers, not customer conversations.
Children
RingOtter is intended for adults and is not directed to children under 18. If you believe a child has provided personal information to us, contact us so we can investigate and take appropriate action.
Policy updates and contact
We will update this page when our practices change and revise the effective date. We will provide additional notice or seek consent where legally required.
